Awards/Rewards Procedure

Summary

Delta College has many rewards and recognition programs for faculty, staff and students and strongly encourages departments or units to utilize these established awards.  All awards, regardless of dollar amount, must have a valid, documented business purpose and must comply with all College purchasing, expense and approval procedures.

Procedures

    • Any additional awards should be pre-approved by the President’s Cabinet, with a definition of any stipends developed in advance.
    • In almost all cases, gifts, prizes, and awards given to employees will be reported as taxable compensation. They will be taxed through the payroll system, and included on the recipient’s W-2 at calendar year-end.  Only non-cash items that meet the de minimis requirements will be non-taxable.
    • Delta College will comply with IRS regulations and other applicable laws, and expects all employees to assist in this commitment by adhering to federal, state and local laws concerning gifts and awards. 
    • AWARD - An award is generally given for meritorious performance, productivity, or other reasons connected with employment; or for non-employees, given in recognition of an accomplishment, achievement or activity that does not require the performance of a service to the college.
    • GIFT - A gift is typically a non-cash item of nominal value given to express appreciation or gratitude; not related to job performance.
    • INCENTIVE - An incentive is a cash or non-cash item of nominal value given to participants of an assessment initiative, academic project or other College related survey for the purpose of increasing participation.
    • CASH - All cash and cash equivalent awards, gifts or prizes, represent taxable income to the individual, beginning with the first dollar.  Cash and cash equivalents are never considered de minimis regardless of the dollar amount.
    • PRIZE: A prize is given in conjunction with a contest, competition, or drawing where the individual voluntarily initiates participation and is open to any individual who meets the qualifications of the event.
      • Delta College does not allow cash or cash equivalent to be given as a gift, prize, or award to an employee.
